Service Terms

These Service Terms explain what is included in the Scan Our Menu digital menu service, what is not included, and how the service works.

In these Service Terms, “Client” means the restaurant, café, food business, company, or person purchasing or using the Scan Our Menu service.

These Service Terms are provided in English. By confirming the service, making payment, or using the digital menu, the Client confirms that they understand these Service Terms or have had the opportunity to ask for clarification before proceeding.

The goal is to keep the service clear, fair, and simple for both sides.

1. Service Summary

Scan Our Menu provides digital menu setup and hosting for Clients.

Customers scan a code and open the Client’s digital menu on their phone. The menu may include categories, item names, prices, descriptions, images, and basic business branding.

The service is a digital menu service only. It does not include online ordering, online payments, POS integration, delivery management, business operations, custom software, or full-time technical support unless agreed separately in writing.

2. Price, Payment, and Start Date

The yearly service price is AED 1,500 per year.

This price applies unless a different written offer is agreed.

Payment must be made before setup begins unless agreed otherwise in writing.

Payment may be made by bank transfer, cash, payment link, or another payment method agreed by Scan Our Menu.

Setup begins after payment is received and after the Client provides the required menu content, logo, images, and information.

The one-year service period starts when the digital menu is first published/live, unless another start date is agreed in writing.

3. What Is Included

  • Digital menu setup
  • Hosting for one year
  • Public menu link
  • Menu code file
  • Client name / business name and logo placement
  • Basic business branding
  • Menu categories
  • Menu items
  • Prices
  • Descriptions, if provided
  • Food images, if provided
  • Reasonable small menu updates within fair usage

4. What Is Not Included

The yearly package does not include the following unless agreed separately in writing:

  • Online ordering
  • Online payments
  • POS integration
  • Delivery system
  • Food photography
  • Menu translation
  • Advanced graphic design
  • Printing of codes, stickers, flyers, table stands, or posters
  • Custom business website pages outside the digital menu
  • Custom software features
  • Client admin panel access
  • Unlimited updates
  • Urgent, same-day, daily, or guaranteed-time updates

Some of these services may become available later as optional paid add-ons or as part of a different package.

Any extra services can be discussed and quoted separately before the work starts.

5. Client Responsibilities

The Client is responsible for providing accurate and complete menu information, including business name, logo, menu items, categories, prices, descriptions, images, item availability, allergens, dietary information, and any other food-related details.

The Client should provide menu information in a clear and usable format. If the information is unclear, incomplete, disorganised, or difficult to use, setup may take longer and extra charges may apply.

The Client is responsible for checking that all menu information is correct before using, sharing, or printing the menu code.

Scan Our Menu is not responsible for incorrect prices, outdated menu items, unavailable items, missing information, wrong descriptions, missing allergen information, or errors in content provided by the Client.

6. Review, Approval, and Use

After the digital menu is prepared, Scan Our Menu will send the Client a menu link for review.

The Client should carefully review the menu before using it, including the business name, logo, categories, item names, prices, descriptions, images, availability, allergens, dietary information, and any missing or incorrect information.

If the Client confirms that the menu is correct, Scan Our Menu may provide the final menu code file.

If the Client starts using, sharing, printing, displaying, or sending the menu link or code to customers, this will be treated as approval that the menu is ready for use.

If the Client prints or shares the code before carefully checking the menu, the Client remains responsible for any errors shown to customers.

7. Branches, Locations, and Brands

The yearly service price applies to one Client brand and one location/branch only, unless agreed otherwise in writing.

If the Client wants to use the same digital menu for additional branches, locations, brands, or businesses, this should be discussed with Scan Our Menu first.

Additional branches may be allowed if they use the same menu, but Scan Our Menu may charge an additional fee depending on the number of branches, menu differences, and support required.

The Client may not resell, copy, transfer, or reuse the service for another branch, brand, business, or third party without written approval from Scan Our Menu.

8. Menu Updates and Support

The yearly package includes reasonable small menu updates within fair usage.

Small updates may include price changes, item name edits, short description edits, hiding or showing items, replacing a few images, adding a small number of items, or small category changes.

Large, repeated, urgent, or complex update requests may be treated as extra work. This may include full menu rebuilds, large menu changes, uploading many new images, redesigning the menu style, adding many new items, reorganising the full menu, translation work, temporary offers, seasonal menus, or urgent/repeated update requests.

Update timing depends on the size of the request, current workload, technical requirements, and availability.

Scan Our Menu will handle updates as soon as reasonably possible, but urgent, same-day, daily, or guaranteed-time updates are not included unless agreed separately in writing.

Scan Our Menu may charge separately for extra, urgent, repeated, or large update requests. The price for extra work will be discussed before the work starts.

Scan Our Menu may decline update requests that are unreasonable, too frequent, outside the agreed service, or unsuitable to continue under the current package.

Support and update requests are handled based on availability. Scan Our Menu does not guarantee instant replies, same-day updates, daily availability, or fixed support hours unless agreed separately in writing.

9. 14-Day Review Period and Refunds

After the digital menu is first published/live, the Client has a 14-day review period.

During this review period, the Client may choose to cancel the service.

If the Client cancels during the 14-day review period, Scan Our Menu may refund the yearly payment minus a setup fee of AED 500.

The setup fee covers the time and work spent creating the digital menu, setting up the system, uploading content, preparing the menu link, and creating the menu code.

If the Client does not cancel during the 14-day review period, the service continues for the rest of the one-year period.

After the 14-day review period ends, the setup fee is non-refundable.

After the 14-day review period, refunds are not guaranteed. Scan Our Menu may, at its own discretion, offer a partial refund for unused full months of hosting, after deducting setup work, completed work, third-party costs, extra work, and any outstanding amounts.

Partial months are not refunded.

Setup fees, completed work, urgent work, extra work, custom work, and third-party costs are non-refundable.

10. Cancellation and Service Exit

The Client may stop using the digital menu at any time. However, stopping use of the digital menu does not automatically cancel any agreed payment obligation or entitle the Client to a refund.

Refunds after the 14-day review period are not guaranteed and may only be offered at Scan Our Menu’s discretion, according to these Service Terms.

Scan Our Menu may pause, cancel, or stop providing the service if continuing the service becomes difficult, unsuitable, unreasonable, or not practical due to Client behaviour, repeated requests, availability, technical reasons, business reasons, personal reasons, or operational reasons.

This may include non-payment, illegal or unsuitable content, repeated delays, repeated work outside the agreed service, abusive behaviour, misuse of the digital menu, unapproved use for another branch or business, or Scan Our Menu being unable to continue due to availability, technical, business, personal, or operational reasons.

If Scan Our Menu cancels the service, Scan Our Menu may offer a partial refund for unused full months of hosting, after deducting setup work, completed work, third-party costs, extra work, and any outstanding amounts.

Scan Our Menu is not required to continue providing the service after cancellation.

Where reasonable, Scan Our Menu will give notice before suspending or cancelling the service. Immediate suspension or cancellation may apply if there is non-payment, abuse, illegal content, misuse, risk to the service, or a serious issue that makes continuing the service unsuitable.

11. Delays, Hosting, and Technical Availability

If the Client does not provide required content, feedback, approval, or responses for more than 30 days, the project may be paused.

If setup work has already started, payments already made may not be refundable, except where Scan Our Menu decides otherwise.

The digital menu is hosted online using third-party hosting, database, domain, storage, and technical services.

Scan Our Menu will make reasonable efforts to keep the menu available online and fix technical issues as soon as reasonably possible.

However, Scan Our Menu is not responsible for temporary downtime, technical issues, internet problems, domain/DNS issues, third-party service outages, maintenance, or events outside its control.

Scan Our Menu is not responsible for loss of sales, customer complaints, lost revenue, or indirect losses caused by temporary downtime, technical issues, or service interruptions.

If third-party costs increase, Scan Our Menu may update future renewal prices, but this will not change the current paid yearly period unless agreed separately.

12. Ownership and Content Rights

The Client owns its own logo, food images, menu text, menu items, prices, and business branding materials.

Scan Our Menu owns the website code, menu layout/system, admin system, hosting setup, technical structure, and internal tools used to create and manage the menu.

The Client receives the right to use the digital menu link and code while the yearly service is active.

The Client does not receive ownership of the underlying software, code, admin panel, hosting system, or technical setup.

The Client confirms that it has the right to use any logos, images, text, and menu content provided to Scan Our Menu.

Scan Our Menu is not responsible for copyright, trademark, image ownership, or content permission issues related to materials provided by the Client.

Scan Our Menu may refuse to add content that it considers unsuitable, inappropriate, illegal, offensive, or against its business values, including alcohol or pork-related menu items.

13. Legal Accuracy, Customer Data, and Sales Results

The Client is responsible for making sure its menu content, prices, allergens, dietary information, offers, and food-related information are accurate and compliant with any rules that apply to the Client.

Scan Our Menu is not responsible for checking the legal, food-safety, tax, VAT, allergen, dietary, or regulatory accuracy of menu content provided by the Client.

The digital menu is mainly for displaying menu information. Unless agreed separately, the service does not include customer accounts, online ordering, payment collection, delivery management, customer databases, or collection of sensitive customer information.

Scan Our Menu provides a digital menu service only. Scan Our Menu does not guarantee increased sales, more customers, better reviews, higher revenue, or business performance.

14. Renewal and Future Changes

The service is valid for one year from the date the digital menu is first published/live, unless another start date is agreed in writing.

The Client may renew the service yearly.

Renewal prices may change in the future.

If the service is not renewed, the digital menu may be unpublished, disabled, or removed after the paid period ends.

Scan Our Menu may update its packages, features, prices, and Service Terms in the future.

Any changes will apply to future clients, future renewals, upgrades, new packages, or extra services unless agreed otherwise in writing.

For existing paid Clients, the terms agreed at the time of payment will continue to apply until the end of their current paid service period, unless both parties agree otherwise in writing.

Changes will not reduce the main service already paid for during the current yearly period.

15. Agreement and Friendly Resolution

Before setup begins, Scan Our Menu may send the Client a service summary, full Service Terms, invoice, quotation, or payment request.

By confirming the service in writing, making payment, approving the menu, using the digital menu, sharing the menu link, displaying the code, or allowing customers to use the code, the Client agrees to these Service Terms.

Written confirmation may include WhatsApp, email, message, signed document, or any other written communication accepted by Scan Our Menu.

If any issue happens, both parties agree to first try to resolve it in a friendly and reasonable way.

These Service Terms are intended to keep the service clear, fair, and simple for both Scan Our Menu and the Client.
