Service Terms

These Service Terms are provided in English and Arabic for convenience. If there is any difference between the English version and the Arabic version, the English version will apply unless agreed otherwise in writing.

These Service Terms explain how the Scan Our Menu digital menu service works, what is included, what is not included, and how payments, updates, renewals, cancellations, and refunds are handled.

By confirming the service, making payment, approving the menu, sharing the menu link, displaying the QR code, or allowing customers to use the menu, the Client agrees to these Service Terms.

“Client” means the restaurant, café, food business, company, branch, brand, or person purchasing or using the Scan Our Menu service.

These Service Terms are provided in English and Arabic for convenience. If there is any difference between the English version and the Arabic version, the English version will apply unless agreed otherwise in writing.

The goal of these Service Terms is to keep the service clear, fair, and simple for both Scan Our Menu and the Client.


1. Service Summary

Scan Our Menu provides a one-year hosted digital menu package.

Customers scan a QR code and open the Client’s digital menu on their phone. The menu may include the Client’s business name, logo, categories, item names, prices, descriptions, images, and basic branding.

This is a digital menu display service only.

It does not include online ordering, online payments, POS integration, delivery management, restaurant operations, custom software, or full-time technical support unless agreed separately in writing.


2. Price and Service Period

The standard price is AED 1,000 for one year, unless a different written offer is agreed.

This price includes the initial digital menu setup and hosting for one year.

Payment must be made before setup begins unless agreed otherwise in writing.

The one-year service period starts when the digital menu is first published/live, unless another start date is agreed in writing.

Renewal after the one-year period is optional for both the Client and Scan Our Menu.


3. What Is Included

The yearly package includes:

Initial digital menu setup

One public menu link

QR code file

Hosting for one year

Business name and logo placement

Basic branding

Menu categories

Menu items

Prices

Descriptions, if provided

Images, if provided

One pre-launch correction round


4. What Is Not Included

The yearly package does not include:

Ongoing menu management

Unlimited changes

Urgent or same-day updates

Daily, weekly, or guaranteed-time updates

Client admin panel access

Online ordering

Online payments

POS integration

Delivery systems

Food photography

Menu translation

Printing of QR codes, stickers, flyers, posters, or table stands

Custom business website pages outside the digital menu

Custom software features

Marketing, advertising, or social media management

Business consulting or restaurant operations support

Any extra service may be discussed and quoted separately before work begins.


5. Client Content and Responsibilities

The Client is responsible for providing accurate and complete menu information.

This includes business name, logo, menu items, categories, prices, descriptions, images, item availability, allergens, dietary information, VAT/tax information, offers, and any other food-related details.

The Client must provide menu information in a clear and usable format.

If the information is unclear, incomplete, disorganised, repeatedly changed, or difficult to use, setup may be delayed, refused, or quoted separately as extra work.

Scan Our Menu is not responsible for incorrect prices, outdated items, unavailable items, missing information, wrong descriptions, missing allergen information, or errors in content provided by the Client.

The Client confirms that it has the right to use any logos, images, text, and menu content provided to Scan Our Menu.


6. Review, Approval, and Launch

After the digital menu is prepared, Scan Our Menu will send the Client a menu link for review.

The Client should carefully review the menu before using it.

The review should include business name, logo, categories, item names, prices, descriptions, images, availability, allergens, dietary information, and any missing or incorrect information.

The package includes one pre-launch correction round.

A correction round is for fixing mistakes, small adjustments, or reasonable corrections before the menu is approved and launched.

If the Client confirms that the menu is correct, or starts using, sharing, printing, displaying, or sending the menu link or QR code to customers, the menu will be treated as approved.

If the Client prints or shares the QR code before checking the menu properly, the Client remains responsible for any errors shown to customers.


7. Menu Changes After Launch

After the Client approves the menu and the menu is published, the menu is considered final.

Ongoing menu changes are not included in the yearly package.

If the Client needs changes after launch, they may send a request. Scan Our Menu may accept, decline, delay, or quote the request depending on availability, workload, and the size of the request.

Scan Our Menu does not guarantee instant replies, same-day updates, urgent updates, daily availability, or fixed support hours.

Frequent, urgent, large, seasonal, or repeated change requests are not included in the yearly package.

Scan Our Menu may stop accepting menu change requests at any time.


8. Communication and Response Times

Communication may take place through WhatsApp, email, message, or another written method accepted by Scan Our Menu.

Scan Our Menu does not guarantee instant replies or fixed response times.

Messages and requests are handled based on availability.

Urgent support is not included unless agreed separately in writing.

The Client should send any request clearly in one complete message where possible.


9. QR Code, Links, and Domain Changes

Scan Our Menu will provide a menu link and QR code file for the Client to use.

The Client is responsible for testing the QR code before printing, displaying, or sharing it.

If the Client edits, regenerates, replaces, or creates its own QR code, Scan Our Menu is not responsible for issues caused by that QR code.

Scan Our Menu may use third-party hosting, domain, redirect, storage, database, and technical services to provide the menu.

Scan Our Menu will make reasonable efforts to keep the menu link working during the active paid service period.

If a menu link, domain, hosting setup, redirect, or technical system needs to change for technical, business, operational, third-party, or availability reasons, Scan Our Menu may provide an updated link or QR code where necessary.

The Client is responsible for replacing or reprinting any printed materials if a new QR code is required.

Scan Our Menu is not responsible for printing costs, replacement costs, customer complaints, lost sales, or lost revenue caused by QR code, link, domain, hosting, or technical issues.


10. Branches, Locations, and Brands

The yearly package applies to one business brand and one location/branch only, unless agreed otherwise in writing.

The Client may not resell, copy, transfer, or reuse the service for another branch, brand, business, or third party without written approval from Scan Our Menu.

Additional branches, brands, or locations may require an additional fee.


11. 14-Day Review Period and Client Cancellation

After the digital menu is first published/live, the Client has a 14-day review period.

During this 14-day review period, the Client may choose to cancel the service.

If the Client cancels during the 14-day review period, Scan Our Menu will refund the yearly payment after deducting a non-refundable AED 300 setup fee, provided the Client has not breached these Service Terms.

The AED 300 setup fee covers time and work spent creating the digital menu, setting up the system, uploading content, preparing the menu link, and creating the QR code.

If the Client does not cancel during the 14-day review period, the service continues for the rest of the one-year period.

After the 14-day review period ends, the Client is not entitled to cancel the service for a refund.

Stopping use of the digital menu, removing the QR code, changing business plans, changing menu needs, closing temporarily, changing management, or deciding not to use the menu does not entitle the Client to a refund after the 14-day review period.


12. Refunds

Payments are non-refundable once setup work has started, except for the 14-day review period described above.

If the Client cancels during the 14-day review period, Scan Our Menu will refund the yearly payment minus the non-refundable AED 300 setup fee, provided the Client has not breached these Service Terms.

After the 14-day review period, refunds are not provided for Client cancellation.

Setup work, completed work, urgent work, extra work, custom work, third-party costs, and partial months are non-refundable.


13. Scan Our Menu Cancellation and Exit Rights

Scan Our Menu may pause, suspend, cancel, or stop providing the service if continuing becomes difficult, unsuitable, unreasonable, or not practical.

This may include non-payment, misuse of the service, repeated requests outside the agreed package, abusive behaviour, illegal or unsuitable content, unapproved use for another business, technical reasons, business reasons, personal reasons, availability issues, operational reasons, or Scan Our Menu being unable to continue providing the service.

If Scan Our Menu cancels the service during the active paid period for its own availability, business, personal, operational, or technical reasons, Scan Our Menu will refund unused full months of hosting after deducting setup work, completed work, third-party costs, extra work, and any outstanding amounts.

Partial months are not refunded.

If cancellation is caused by Client behaviour, misuse, non-payment, illegal content, abusive behaviour, unapproved use, or breach of these Service Terms, Scan Our Menu is not required to provide a refund.

Where reasonable, Scan Our Menu will give notice before suspending or cancelling the service.

Immediate suspension or cancellation may apply if there is non-payment, abuse, illegal content, misuse, risk to the service, or a serious issue.


14. Renewal

The service is valid for one year from the date the digital menu is first published/live, unless another start date is agreed in writing.

Renewal is optional for both the Client and Scan Our Menu.

Scan Our Menu may choose not to renew the service after the current paid period ends.

If the service is not renewed, the digital menu may be unpublished, disabled, or removed after the paid period ends.

Renewal prices may change in the future.

Future renewals may be subject to updated packages, prices, features, and Service Terms.


15. Hosting and Technical Availability

The digital menu is hosted online using third-party hosting, domain, database, storage, and technical services.

Scan Our Menu will make reasonable efforts to keep the menu available online.

However, Scan Our Menu is not responsible for temporary downtime, internet problems, domain issues, DNS issues, third-party outages, maintenance, technical problems, cyber incidents, or events outside its control.

Scan Our Menu is not responsible for lost sales, customer complaints, lost revenue, lost profits, reputational harm, or indirect losses caused by downtime, QR code issues, link issues, technical interruptions, or service unavailability.


16. Ownership and Usage Rights

The Client owns its own logo, food images, menu text, menu items, prices, and business branding materials.

Scan Our Menu owns the website code, menu layout/system, hosting setup, technical structure, internal tools, and any software used to create or manage the menu.

The Client receives the right to use the menu link and QR code while the yearly service is active.

The Client does not receive ownership of the underlying software, code, admin system, hosting system, or technical setup.

The Client may not copy, resell, transfer, reproduce, or reuse the menu system, layout, code, or technical setup for another business without written approval from Scan Our Menu.


17. Content Rights and Suitability

The Client confirms that it has the right to use any logos, images, text, menu content, and business materials provided to Scan Our Menu.

Scan Our Menu is not responsible for copyright, trademark, image ownership, or content permission issues related to materials provided by the Client.

Scan Our Menu may refuse to add, display, or continue displaying content that it considers unsuitable, inappropriate, illegal, offensive, misleading, or against its business values.


18. Legal Accuracy and Business Results

The Client is responsible for making sure its menu content, prices, allergens, dietary information, offers, VAT/tax information, and food-related information are accurate and compliant with any rules that apply to the Client.

Scan Our Menu does not check or guarantee the legal, food-safety, tax, VAT, allergen, dietary, or regulatory accuracy of the Client’s menu.

Scan Our Menu provides a digital menu display service only.

Scan Our Menu does not guarantee increased sales, more customers, better reviews, higher revenue, improved business performance, or any business result.


19. Changes to These Terms

Scan Our Menu may update its packages, prices, features, and Service Terms in the future.

For existing paid Clients, the terms agreed at the time of payment will apply until the end of the current paid yearly period, unless both sides agree otherwise in writing.

Future changes may apply to renewals, upgrades, new packages, or extra services.


20. Agreement and Friendly Resolution

Before setup begins, Scan Our Menu may send the Client a service summary, full Service Terms, invoice, quotation, or payment request.

Written confirmation may include WhatsApp, email, message, signed document, payment confirmation, or any other written communication accepted by Scan Our Menu.

If any issue happens, both sides agree to first try to resolve it in a friendly and reasonable way.

These Service Terms are intended to keep the service clear, simple, and fair for both Scan Our Menu and the Client.
